Privacy Policy

Version 2026.1 · Effective October 1, 2026

Dallas Select Baseball, LLC ("DSB," "we," "us") operates the DSB Mechanics Lab baseball player development platform at dsbmlab.com. This Privacy Policy describes the information we actually collect, how we use it, who receives it, and the choices available to athletes, parents and guardians, coaches, recruiters, and organizations.

This policy describes the platform as it operates on the effective date above. It does not make claims about certifications or audits we have not obtained.

Account and Identity Information

When an account is created we collect a name, an email address used to sign in, and the role selected (player, coach, recruiter). Depending on role we may also collect a phone number, city and state, school, team, organization, coaching title, and social handles a player chooses to add to a recruiting profile.

Accounts can be created with an email and password, or with Google sign-in. When Google sign-in is used, Google provides us the name and email address associated with that Google account. We do not receive the Google password.

Date of Birth and Age Band

We collect a date of birth during player onboarding and use it to derive an age band: under 13, 13 to 17, or 18 and over. The age band determines which privacy protections and consent requirements apply to the account.

The date of birth itself is stored with restricted access. It is not displayed on a player profile, is not shared with recruiters, and is not used for advertising.

Guardian Information

For athletes under 18 we collect the name, email address, and stated relationship of a parent or legal guardian, and we record the evidence of consent they provide. Consent evidence may include a signed consent form reviewed by staff, or a nominal card verification transaction processed by our payment processor and immediately refunded.

We store the date and method of each consent, grant, and withdrawal so an authorization can always be tied back to the exact notice the guardian read.

Baseball and Athletic Development Information

We collect the training and development information athletes and their coaches enter: workouts, throwing and hitting sessions, bullpen sessions and individual pitch results, arm care and J-Band routines, arm soreness and recovery check-ins, game statistics, goals, session notes, coach feedback, assignments, and development plans.

We collect physical measurements and performance results such as height, weight, pitch velocity, pulldown velocity, exit velocity, and running times. Some of these are self-reported by the athlete and some are verified by a coach or at a DSB event; each record is stored with its source.

Uploaded Video and AI-Generated Analysis

Athletes and coaches can upload video of pitching and hitting for mechanical review. From each upload the application extracts still frames and submits them, with the athlete's identifying details removed, to an automated analysis provider that returns mechanical feedback.

We store the resulting analysis: category scores, written observations, the evidence supporting them, and the development plan and drill recommendations generated from them. AI-generated feedback is developmental guidance and is not medical advice, injury screening, or a substitute for qualified coaching or a licensed clinician.

Recruiting Information

Athletes in eligible graduating classes may publish a recruiting profile containing class year, position, school or organization, verified measurables, statistics, and highlight video marked for sharing. Publication produces a shareable link and, if enabled, makes the profile visible to recruiters approved on the platform.

Recruiting publication is off by default. Contact details are never published for an athlete under 18 unless a verified guardian separately authorizes it. Recruiting publication is unavailable for an athlete under 13 regardless of any setting.

Communications

We send account, training, and development emails and in-app notifications. Guardians linked to a minor receive development updates and recovery alerts. Coaches, recruiters, and players can exchange messages within the boundaries the platform enforces; a minor cannot be messaged by an adult who is not one of their own coaches, organization staff, or an approved recruiter under the platform's recruiting rules.

Non-essential email includes an unsubscribe link. Account, billing, safety, and legal notices are operational and are sent regardless of marketing preferences.

Billing and Subscription Records

Subscription payments are processed by Stripe, Inc. Payment card numbers are entered directly with Stripe and are never received or stored by DSB. We store the subscription plan, status, renewal dates, and the identifiers Stripe uses to reference the customer and subscription.

Complimentary access, team licenses, and internal accounts are recorded on the account and involve no payment.

Consent Records and Data Requests

We maintain records of privacy consents, guardian relationships and their verification status, acceptance of this Privacy Policy and the Terms of Service, data export requests, and deletion requests, including when each was received and how it was handled. These records exist to demonstrate that authorizations and requests were honored and are retained even after other information is deleted.

How Automated Analysis Providers Receive Information

Before video frames, measurements, or written context are sent for automated analysis, the application replaces the athlete's name, email address, school, team, hometown, social handles, and coach contact details with non-identifying references. The mapping back to the real athlete stays on our systems.

The provider receives the still images extracted from an upload and the pseudonymized context needed to produce mechanical feedback. We do not control and do not represent the provider's internal retention periods or model-training settings beyond what our agreement with them provides. If you need provider-level contractual detail for a review, write to us.

Children Under 13

An account identified as belonging to an athlete under 13 is restricted until a parent or legal guardian provides verifiable consent through a private link we email them. No guardian account is required.

For an athlete under 13 we do not publish a recruiting profile, do not display contact information, do not make the athlete discoverable by recruiters, and do not use their information for advertising or sell or share it for advertising. We collect only what is reasonably necessary to deliver the training features, and we do not condition participation on providing more.

A parent or guardian may review the information collected from their child, refuse further collection or use, withdraw a previously given authorization, and request deletion of the account and its contents.

Teens 13 to 17

Accounts for athletes 13 to 17 are treated as minor accounts. Contact details are not published, and recruiting publication and discoverability require guardian authorization. A verified guardian can review the athlete's information, control publication and automated-analysis settings, and request export or deletion.

For Texas families: DSB Mechanics Lab is a training tool, not a social platform. We do not use a known minor's information for targeted advertising, do not sell or share it for advertising, and do not operate an algorithmic content feed or engagement-optimized ranking for minors.

Guardian Rights and Controls

A verified guardian has a private page where they can review a summary of the athlete's information, grant or withdraw specific authorizations, view arm recovery history, turn off recruiting publication, and submit export or deletion requests. Withdrawing an authorization stops the affected use going forward and, for recruiting, deactivates the athlete's public recruiting link.

Access, Correction, Export, and Deletion

Players and guardians can update profile information from account settings. Requests to access, export, or delete information can be submitted from the in-app privacy settings or the guardian page, or by writing to privacy@d-selectbaseball.com.

We verify that a request comes from the account holder or a verified guardian before acting on it. Deletion removes or anonymizes the account and its personal information, uploaded video, analysis output, training records, and recruiting publication. Some records are retained where we are required or permitted to keep them, including billing and tax records, consent and legal-acceptance evidence, suppression lists needed to honor unsubscribe requests, and security or audit logs. Deleted information may persist in encrypted infrastructure backups until those backups expire on their normal rotation.

Data Retention

Active accounts: information is retained while the account is in use.

Inactive and archived accounts: an account with no activity for 30 days may be archived. Archived accounts retain their information so the athlete can return without losing their history. Archiving does not change billing or access rights.

Uploaded video, AI analysis, training history, measurements, and recruiting data: retained while the account exists, or until the athlete or a verified guardian requests deletion.

Consent evidence, guardian records, and legal-acceptance records: retained after account deletion as proof that authorizations were obtained and honored.

Billing records: retained as required for tax and accounting purposes; card data is held by Stripe, not by DSB.

Email, notification, security, and audit logs: retained for operational and security purposes for a limited period.

Backups: infrastructure backups expire on their normal rotation, after which deleted information is no longer recoverable from them.

Service Providers

We use service providers to operate the platform: cloud hosting and application delivery; a managed PostgreSQL database with authentication and file storage; transactional email delivery; Stripe for payment processing; and an AI gateway that routes automated mechanical analysis to a model provider. Providers act on our instructions for the purposes described in this policy.

We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Security

Access to data is controlled by account role and, for athletes, by organization membership and guardian status. Database-level row access rules restrict which records an account can read or change. Video files are served through time-limited links rather than public URLs. Administrative actions on accounts are logged.

No system is perfectly secure. We do not claim any certification, audit, or formal security standard that we have not obtained.

Changes to This Policy

We may revise this policy. Each version carries a version number and effective date. When a revision is material we require users to review and accept the new version before continuing to use the platform, and we record that acceptance.
